I am currently representing an international financial services company with approximately 100 employees, seeking to recruit an Office Manager with responsibilities in office management, facilities and executive support.

Key Responsibilities:

Office Management & Facility Management (80%)
As a key reference for the smooth running of the office, you are responsible for the organisation, coordination and overall quality of the working environment.
  • Act as the central point of contact for teams, visitors and external partners
  • Manage reception, office spaces and meeting rooms
  • Oversee the day-to-day organisation of the office and priority management
  • Handle confidential and sensitive information with discretion and reliability
  • Contribute to office life and foster team cohesion
Facility & Property Management
  • Coordinate suppliers and service providers
  • Oversee daily facility and property management
  • Implement and monitor policies & procedures
  • Manage and monitor the general services budget
 
Personal Assistant / Executive Support (20%)
Provide direct support to Senior Management.
  • Manage the CEO’s agenda
  • Coordinate priorities and key stakeholder interactions
 
Candidate Profile:
  • Minimum 8 years of relevant experience in Office Management, Facility Management or a comparable role
  • Proven ability to work with senior-level executives and stakeholders
  • Highly organised, autonomous and solution-driven professional
  • Strong anticipation and prioritisation skills
  • Proactive, hands-on and resourceful mindset
  • High level of discretion, integrity and confidentiality
  • Excellent written and verbal communication skills
  • Fluent in English; professional proficiency in French
 
We are also open to professionals who may not come directly from an Office Manager background but who have developed strong transferable skills (organisation, stakeholder coordination, operational management, discretion, budgeting or facilities exposure) and who are genuinely motivated to grow into this type of role.
 
Position Conditions
  • This is a full-time position (100%) - part-time arrangements (80%) are not an option for this role.
  • Due to the operational nature of the position, it is primarily office-based; remote work is not available, except on a very exceptional basis.
