The position is based in Warsaw.

Key Responsibilities- Coordinate the day-to-day administration of investor programs, maintaining participant records, onboarding documentation, and operational databases.
- Support subscription, redemption, and allocation processes across various investment vehicles and distribution channels.
- Assist with the implementation and execution of operational workflows related to new investment product launches and investor onboarding initiatives.
- Serve as a primary point of contact for investors and platform users, responding to inquiries in a timely and professional manner.
- Coordinate meetings, calls, and communications with investors, business stakeholders, and senior management.
- Partner with Legal, Compliance, Finance, and Operations teams to ensure adherence to internal policies, regulatory requirements, and operational procedures.
- Execute investor onboarding activities across multiple client segments, including financial advisors, family offices, institutional investors, and private banking partners.
- Draft and distribute investor communications, including newsletters, campaign updates, product launch announcements, and other client-facing materials.
- Maintain investor records and documentation within internal systems and workflow tools.
- Prepare presentations, reports, and program materials, while identifying opportunities for process improvements and operational efficiencies.
- Support transaction processing, reconciliations, and payment-related activities, ensuring accuracy and compliance with applicable agreements and controls.
- Contribute to ongoing operational projects and initiatives aimed at enhancing the investor experience and scalability of business processes.
Required Qualifications
- Bachelor's degree in Finance, Business, Economics, Accounting, or a related field.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications, particularly Excel and PowerPoint.
- Strong attention to detail and commitment to delivering high-quality work.
- Ability to work effectively with cross-functional teams and external stakeholders.
- Analytical mindset with a proactive and solution-oriented approach.
Preferred Qualifications
- Experience with CRM, workflow management, or investor servicing platforms.
- Exposure to investment operations, asset management, wealth management, private markets, or alternative investments.
- Familiarity with investor onboarding, subscription processing, KYC/AML, or fund administration activities.
- Experience working with communication and marketing tools used for investor outreach.
- Knowledge of regulatory and compliance requirements within financial services environments.
