Job Title: Executive Assistant
Location: Hong Kong
Overview
We are seeking a highly organised and proactive Executive Assistant to support senior leadership within a hospitality organisation in Hong Kong. This role provides confidential administrative support, manages schedules and communications, coordinates internal and external meetings/events, and helps ensure smooth day-to-day operations for the executive team.
The ideal candidate is detail-oriented, service-minded, able to handle sensitive information with discretion, and comfortable working in a fast-paced environment.
Key Responsibilities

Calendar & Scheduling:
Manage and coordinate the executive’s diary, appointments, and travel plans, ensuring timely and accurate scheduling. -
Administrative & Document Support:
Prepare and format documents, presentations, reports, correspondence, and meeting materials with high accuracy. -
Meeting Coordination:
Arrange internal/external meetings, including venue coordination, agendas, minutes/action items follow-up, and participant communications. -
Communication & Follow-ups:
Handle incoming communications (email/phone/letters), prioritise matters appropriately, and ensure action items are followed through. -
Confidentiality & Discretion:
Maintain strict confidentiality of sensitive information and support governance requirements as applicable. -
Event & Stakeholder Support:
Support special projects, stakeholder engagements, and corporate events as required. -
Travel & Expense Coordination:
Assist with travel itineraries, hotel bookings, and expense documentation in accordance with internal processes. -
Cross-Functional Coordination:
Liaise with different departments and external parties to coordinate requests and resolve scheduling/administrative issues efficiently.
Qualifications

Experience:
Typically 3–6 years of experience as an Executive Assistant or senior administrative support role. -
Hospitality/Service Industry (Preferred):
Experience in hospitality, corporate services, or a similarly fast-paced customer-facing environment is preferred. -
Communication Skills:
Strong written and spoken communication skills in English and Chinese (Cantonese); Mandarin is a plus. -
Organisational Skills:
Excellent time management, prioritisation, and attention to detail; ability to manage multiple competing priorities. -
Professionalism & Discretion:
Demonstrated ability to maintain confidentiality and professionalism at all times. -
Tools & Computer Literacy:
Proficiency in MS Office (Word, Excel, PowerPoint) and comfortable learning internal systems.
