Position Description
This position is responsible for daily customer service operations while providing marketing, sales, and office administrative support. He or she will manage customer service activities such as order taking from Taiwan distributors, order tracking, credit checking, coordinating with the operations team for goods allocation, shipment arrangements, and handling billing and credit notes. The role also supports marketing initiatives, sales activities, and ensures smooth day-to-day office operations.
Job Responsibilities
<Customer Service>
- Manage timely and accurate order taking and tracking, including billing, invoicing, and credit note handling
- Communicate daily with customers and the sales team regarding order status, inventory availability, shipping schedules, credit issues, and related matters
- Handle customers’ daily enquiries and requests
- Ensure customer satisfaction by addressing complaints and enquiries in a timely manner
- Conduct credit checks, release orders, bill customers, and serve as the primary customer interface
- Coordinate with the operations team, 3PLs, and forwarders to ensure goods are packed, shipped, and picked up as scheduled
- Maintain the master price list
- Manage the end-to-end sample order process, including regular tracking of shipment progress and collaborating with the QA team to ensure clear documentation and full traceability of sample distribution
- Identify the quickest and most effective ways to respond to customer questions
- Collaborate with the QA team on quality issues and product complaint handling
- Ensure compliance with relevant industry regulations and standards
- Provide support to the product manager in the development and distribution of marketing materials
- Assist in the planning and execution of marketing events
- Support the pre-event internal application process with the sales and compliance teams, and the post-event payment process with the sales and finance teams
- Coordinate pre-event preparations—both domestic and international—with the product manager, sales team, distributors, and relevant vendors
- Assist in market data collection
- Distributor Data Management
- Hospital Tender Document Support/Coordinator
- Participate in company-initiated events and act as the coordinator between the host and the Taiwan team
- Monitor the day-to-day operation of office mail services, forwarding services, and package deliveries to ensure smooth workflow and efficiency
- Make purchase plans for office supplies and manage inventory and office asset records
- Maintain systematic records for company group insurance, office files, and maintenance or repair activities
- Ensure the office is maintained as a safe, efficient, and effective workplace
- Prepare office expense reports
- Coordinating meetings, conferences and special events, including scheduling, logistics, and documentations
- High Diploma or Above
- Strong sense of responsibility, independent and self-motivated
- Independent and can work under pressure
- Minimum of 5 years working experience related to Customer service / sales & marketing administration
- Proficiency in Excel and Word
- Good command of spoken English and Mandarin
- Immediate available is a plus
