Executive Schedule & Priority Management
- Manage the CEO’s calendar from a strategic perspective, treating time as a critical resource to ensure alignment with business priorities and key stakeholder engagement
- Coordinate internal and external meetings and events, ensuring clear objectives and meaningful outcomes
- Plan and manage domestic and international travel arrangements to support business needs and enhance executive efficiency
Executive Communication & Stakeholder Management
- Serve as a key communication interface for the CEO, ensuring clarity, consistency, and professionalism in all interactions
- Manage and optimize executive communication processes, including correspondence handling, response alignment, and follow-up tracking
- Coordinate interactions between the CEO, internal teams, clients, and external partners
Executive Operations & Meeting Management
- Plan and manage executive-level meetings, including agenda design, material preparation, and decision tracking
- Consolidate and structure information to support high-quality discussions and decision-making
- Ensure alignment and effective execution of key initiatives across functions
Administrative & Operational Support
- Oversee executive-related administrative processes (e.g., expense management and documentation) to ensure accuracy and compliance
- Establish and optimize administrative workflows to improve overall operational efficiency
Strategic Projects & Ad-hoc Initiatives
- Support and drive key projects and strategic initiatives assigned by the CEO
- Demonstrate strong judgment and execution capability in dynamic and uncertain environments
- Proactively identify issues, propose solutions, and ensure effective implementation
Experience Requirements
- Minimum of 5 years’ experience supporting senior executives in sizable or fast-paced organizations
- Proven experience supporting C-level executives (e.g., CEO, CFO, COO)
- Experience working across functions, regions, or cultures is highly preferred
Language Skills
- Fluent in both English and Mandarin, with the ability to independently draft, refine, and communicate business content
- Strong written and verbal communication skills with attention to tone, clarity, and precision
Technical Skills
- Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams)
- Familiar with calendar and workflow management tools (e.g., Google Calendar, Outlook)
- Quick to learn and adopt new tools to enhance productivity
