This department is responsible for planning and organizing various physical and virtual academic conferences and seminars for healthcare professional communities across Asia and beyond. The core responsibility of the Associate Conference Manager is to lead project teams collaboratively, ensuring the smooth execution and ultimate success of every event from start to finish.

Responsibilities

  • Organize regional and local physical/online events.

  • Meet with clients to gain a deep understanding of their expectations and fully grasp all specific event requirements.

  • Select suitable venues, and coordinate with venue contacts to meet client expectations.

  • Formulate event execution plans, including detailed event timelines and budget planning.

  • Provide clients with regular progress reports, including preparation milestones and registration status.

  • Coordinate with invited speakers and VIPs, making appropriate arrangements for their travel, accommodation, and requirements.

  • Collaborate with internal medical editors, design, and production teams to produce event-related materials.

  • Liaise with production or technical vendors for event setup and production.

  • Oversee all aspects of the event, including on-site execution preparations and team leadership.

  • Deliver a complete project budget final reconciliation report after the event concludes.

Requirements

  • Bachelor’s degree or higher. At least 5+ years of experience in planning and managing conferences, seminars, or exhibitions; experience with events in the pharmaceutical/healthcare industry is preferred.

  • Excellent verbal and written English communication skills for daily professional interaction.

  • Excellent communication and negotiation skills, capable of liaising effectively with clients and vendors.

  • Strong team player with demonstrated leadership capabilities. Hands-on experience in budget planning and financial reporting.

  • Ability to work flexible hours based on event needs. Willing and able to travel as required by event demands.

  • Adaptable and actively eager to acquire new knowledge and skills.
